Buildings are for People

Earlier this week I was at a library presenting a workshop for trustees (not a Greening Your Library session but a very fun Advocacy Boot Camp) in a beautiful community room overlooking Lake Mahopac. As we wrapped up and started to pack up our flip charts, laptop and data projector the next group who had reserved the space – an outside community group – was trickling in and setting up – what a popular place! As we overlapped in this space I overheard a snippet of a conversation that went a little like this:

“Our building is [stupid]. Can you believe the AC (air conditioning) came on today? It was like 3 degrees outside at lunch time! It’s controlled by a computer so we put gel ice packs on the thermostats to trick it and made the heat come on.”

I stopped in my tracks and thought, “She’s right, that is [stupid].” Everyone is losing out. The staff are unhappy and distracted (how long did it take them to come up with the ice pack trick?) which probably shows in their work and customer service habits. The building is confused and it’s systems are not optimized which probably means it costs more to heat and cool the building and increases the likelihood that the equipment will wear out sooner. The potential for damaging the building (what if that ice pack leaks and shorts out the thermostat?) increases when staff start to jerry-rig its systems. All of this adds up to money. Loss of productivity, building repairs, increase oil/gas use, increase electricity use…

Buildings are for people. Your facility operations should take this into account. From whether or not the environmental controls meet the needs of the people in the space to the cleaning products used – we have to find the balance between human comfort, pricing of products, utility costs and the staff time devoted to maintaining the buildings.

In one of my courses for my Sustainable Building Advisor certification a classmate of mine who previously had been a facility manager for a local college shared that in his tenure there the most frequent complaints from the faculty were temperature complaints, too hot in the classroom or too cold. He also said it was more psychological than related to physiology; which he “scientifically tested” by reporting back to complainants that he had made changes to the settings at their request when he really had not. He said 9 times out of 10 they were satisfied when he had actually not made a change at all.

I’ve found that the best facility operations managers are good listeners. They never discount a persons complaint without fully hearing them out, expressing that they will check into the issue and reporting back on actions (or phantom actions) taken to address the issue. Even if it is a phantom temperature change, if the employee is satisfied… great!

In some cases, hopefully not yours, there seems to be a significant disconnect between building occupants (library staff and patrons), building maintenance, and building management. Just as we all get together to identify priorities for services for the community we should also understand the purpose of our library buildings – they are here to serve just as we are.

This dialogue can help optimize your building, your staff and your budget.

Building management is a science unto itself however library directors do have a responsibility to manage all aspects of the library organization. Your building can impact staff productivity and morale and send an unspoken message to patrons. One of my professors in library school once said, “A building in visible disrepair sends an outward message of neglect – will the service inside be much better?”

I guess my point after these ramblings is: Aligning our service priorities with our facility priorities could be a bigger personnel, budgetary and public relations factor than you may think. Food for thought…

Paper: Reduce, Reuse, Recycle

As promised, here are the ideas the staff at MHLS came up with for reducing paper waste:

Reduce
o Print only when necessary
o Use narrow margins on Word documents
o Check to see if the printer you use can print double sided
o When making copies use the 1-2-sided/double/duplex option
o Avoid a cover page when faxing, if possible!
o Can you read a journal online rather than having a hard copy sent to you?
o Getting junk mail? Call the company and have your name removed from their mailing list
o Consider online handouts rather than printed packets for workshops and consultations
o Proofread before printing or copying; use the “Print Preview” function before printing
o Develop a page on the web site for frequently requested information
o Use email rather than mail when possible
o When replying to an e-mail, delete previous e-mail correspondence in the body of the e-mail in order to eliminate a large amount to be printed should the recipient choose to print your response.

Reuse
o If you have your own printer, print drafts and reference material out on scrap paper
o If you share a printer with a co-worker, agree on one tray being filled with scrap paper
o Reuse envelopes
o Use cut up scrap paper for note taking/scratch paper

Recycle
o We posted the recycling rules for MHLS by every printer and copier:

o   MHLS recycles all paper and card board

o   There are blue recycling bins on all floors

o   Eligible for recycling:

o    All office paper, including paper with staples

o    File folders

o    Envelopes

o    Newspapers

o    Journals/magazines

Bird-Safe Glass

Did you know that it is estimated that 100 million birds are killed annually in the United States through collisions with buildings, primarily because the birds see reflections, rather than the glass?

Earlier this year at a Greening Your Library (GYL) workshop on Long Island, you may recall, I got stumped by a question from the audience about how to prevent “bird strikes.” The audience shared their solutions – window decals of a hawk and streamers outside for movement – and I wanted to share that I came across this product – one of BuildingGreen.com’s “Products of the Week” earlier this year made it to their Top Ten Products of the Year list: Ornilux Bird-Safe Glass.

The glass has patterning of UV-reflective coating that is nearly transparent to humans but clearly visible to birds.

  • “Visually, the UV-reflective pattern on Ornilux glass is visible, but it is less apparent that many of the other strategies that have been tried to minimize bird collisions.”
  • “Ornilux can be fabricated into a wide range of glazing systems, including high-performance double- and triple-glazed systems with low-emissivity (low-e) coatings.”

Greening Meetings

Maybe it’s just me but I feel like I go to a lot of meetings, a lot of workshops and a fair number of conferences. I was struck this year by the obviousness of those facilities and organizations that have made an effort to make more sustainable facility and operational choices in the context of the “meeting experience.”

  • paper handouts vs. online referrals to handouts
  • the quality of the plates, cups, forks/spoons/knives, napkins provided
  • individual plastic water bottles
  • quality or (heavenly absence of) “giveaways” – bags, notepads, pens
  • recycling for cans and bottles
  • snack choices

While it may seem minor in some cases all of these things contribute to a meeting/workshop/conference experience. Here’s how my mind was working this year, I forgot my stainless steel water bottle at an event recently and had to break down and buy a bottle of water. I had to carry it around for hours, literally, until I found a recycling receptacle.  I was actually distracted by this, my mind was constantly on the look out! This was at a conference with hundreds of people attending, how many of them didn’t hold on to their bottles until they found it? That’s probably hundreds of bottles just thrown in the trash.

I actually had a visceral reaction when I realized I’d have to use a Styrofoam plate at one of our own, catered, events. How to rectify this? I’m suggesting that next year this is part of our contract with the caterer, that plates, napkins and utensils contain recycled content.

As consumers we can enact change. Libraries spend a lot of money in communities, if we start demanding specific sustainable aspects we can change how people do business.

Greening & Historic Preservation

Greening & Historic Preservation – Top Ten Tips

  1. Know Your Building: Many older building have passive heating and cooling systems designed right into them. Learn how your building/home works so that you do not prevent these systems from working (example: operable windows, natural ventilation).
  2. Find Photos of the Building in its Prime: Photos may reveal awnings and plantings that helped shade the building that should be added back to the design to maximize natural cooling capacity.
  3. Whole Building Design:When we try to pick out anything by itself, we find it hitched to everything else in the Universe.” – John Muir, founder, Sierra Club: In planning a renovation or expansion project for a historic building learn how the building’s systems work together, retain building materials where possible, recycle what you cannot reuse.
  4. Respect the Windows! Old windows were fabricated from old wood. It’s generally denser and lasts longer than the new wood used for modern windows. Repair and maintain them when possible rather than replacing.
  5. Reveal Natural Lighting: Look for transom lights, fanlights and skylights that have been painted over or covered up and restore them to maximize natural light in the space.
  6. Use What You Already Have! Inspect, maintain and repair your existing roof.
  7. Beware Moisture: When insulating interior walls be careful not to create an environment where more moisture is created/released as this can damage building materials (example: when insulating stone/brick wall structures the exterior wall will be colder than it was previously, slowing the process of evaporation of wetness on the surface, and consequently causing it to stay damp and leading to damage).
  8. Insulate Unfinished Basements / Crawlspaces: Unfinished spaces beneath the ground floor with rugged walls and dirt, brick, or fieldstone foundations? Install the insulation on the basement ceiling or between the first floor joists. The insulation’s vapor barrier must be facing up.
  9. Diminish Solar Installation Visibility: Consider installations that do not harm building materials (free standing) or those that are building materials themselves (solar shingles).
  10. Consult an Expert: No one is expected to know everything! Find preservation experts that can help you balance sustainable building practices with preservation and restoration techniques to help you achieve these two goals. They really are complementary goals, not competing goals!

Crandall Public Library Folklife Center

I recently visited the Crandall Public Library in Glens Falls, NY. I was lucky enough to get a tour of the facility from their director, Christine McDonald. The greatly expanded library was LEED certified in early 2010 and I was looking to learn more about their building as it is the only LEED library project in NY, that I’m aware of, that included a renovation to a historic structure as well as a newly constructed addition.

The library boasts a daylight harvesting system (that works!), curtain walls, low-VOC paints, carpets and finishes, and a white roof but what really caught my eye was their Folklife Center.

Crandall’s Center for Folklife, History & Cultural Programs is housed in the basement but is immediately accessible down a lovely staircase visible from the main entrance. The Center offers:

  • General Tours
  • Archival Treasure Hunts
  • Guess What I Collect
  • Folk Artist Residencies
  • Tape Recorded Interviews
  • Photograph Your World
  • Book Boxes
  • Women’s History
  • Essay Contest
  • Genealogy Workshops

What I really like about this program area in a public library is the tie in to the commitment this library has made to its community to be a sustainable organization. The idea that the library has devoted so much space to the preservation and continuing education about a way of life, a way of life that celebrates nature and crafts in the Adirondacks, is a strong message of valuing the natural world that dovetails so nicely with the library’s LEED building.

Just as Louise Schaper had done at Fayettville, continuing their commitment to a sustainable facility into their day-to-day operations, Crandall has created a sustainability thread into services and programs. This reinforces the whole idea of sustainability or the “capacity to endure,” which really encourages the public to consider what came before them and what will be left for future generations.

Building Orientation

Last week we conducted a building orientation for all staff members. This idea came out of the MHLS Green Team. During one of our meetings our facilities guy was commenting on how a few staffers were consistently leaving on the lights at night which was wasting electricity. The conversation that followed revealed that some of us didn’t know where the light switches were for certain lights and others were not sure it was our job to turn them off (thinking there were still others in the building).

We designed an hour long program, limited it to 6 staff people at a time and did a couple of sessions to make sure everyone had a chance to participate. We stated it was mandatory (but that we knew they would come along even if it wasn’t!)

Before the sessions we implemented some signage we had agreed on and labeled all light switches.

We met around a table to begin and
1) Reviewed the “Building Basics”

  • building operating hours
  • alarm
  • opening and closing procedures
  • lighting basics

2) “Safety First” alerted staff to

  • emergency procedures
  • fire safety
  • some basic personal precautions to take to protect themselves when leaving the building after hours

3) MHLS “Goes Green” Challenge Results

  • shared the results of the Challenge in which they all took part (more than 120 ideas were shared!)
  • let everyone know some of the things that were already being done that had been suggested
  • what energy efficiency items have been included in our facility plan (new windows and solar panels)
  • reviewed the building recycling opportunities and guidelines
  • shared tips from Staff gathered through the Challenge:
    • “Top Ten Tips” for Conserving Energy – some ideas were very specific to our building but here are ones that work anywhere:
      • turn off computers and monitors at the end of every day
      • use the Power Options setting on PCs to help machines save energy while idle
      • unplug equipment used infrequently (pencil sharpeners, laminator)
      • use the stairs rather than the elevator
    • Paper: Reduce, Reuse, Recycle

Then we toured through the building, starting at the door everyone enters and leaves through. On each floor we pointed out:

  • how doors lock, when they should be locked
  • fire extinguishers
  • circuit breaker boxes
  • light switches
  • where lights could be shut off when no one is in the area
  • safety tips (like closing blinds on the first floor at the end of the day)

It went amazingly smoothly. Everyone “played along” and were helpful, coming up with more ideas along the way – motion detectors for the bathroom lights to help make sure lights are off when no one is in there, glow in the dark tape on key light switches, tips for using a fire extinguisher… it was great.

Green Team Meeting #3

Today’s Green Team meeting at MHLS was a little bittersweet.

I’ll start with the sweet, there was lots of it!
1) We reviewed the content for the new staff web page that will orient staff to what we did with their 300+ ideas they submitted as part of the “MHLS Goes Green” Initiative we launched earlier this year.

  • I noticed a bunch of suggestions were for things we already do so I found a gentle way to convey this and coupled that with a list of short term and long term items we’re acting on that people suggested. These are things that take more research or a bucket load, or even handful, of cash that we just don’t have right now. (Thanks NYS Budget.)
  • Summarized the “Recycling Rules” for the building so there’s one central place to double check if it’s ok to recycle paper with staples (it is).
  • A “Demystification of Myths” Q&A for things we’ve heard that people misunderstand – whether it saves more energy to turn off an office light for an hour or leave it on (turn it off); do we really recycle paper or does it just go in the dumpster (we really recycle it!); why we don’t use vinegar and baking soda to clean; and an explanation of how power is still being used even when things are “turned off” to encourage smart strip usage.
  • Two “personal responsibility” tip lists – the first on paper consumption, what they can do personally to reduce, reuse and recycle paper the second, their top 10 suggestions for conserving energy.

I’ll post the staff page once I finish so you can see what I’m talking about.

2)We agreed on small signs that can go in various spots around the building to reinforce the info on the tip sheets for conserving energy and paper. They will all be branded with the same logo, a green leafy thing with the words “MHLS Goes Green” so they are easily recognizable and to help promote to our members and trustees that we’ve done a coordinated conservation effort. Signs will go on the copy machines to remind people to double side copies, near light switches to remind people to shut off lights as they leave for a meeting or for the day, etc.

3) We planned a staff education event with two parts, classroom time to go over the conservation tip sheets / recycling rules and a walk-thru of the building so everyone can learn how to “use” the building together. We’re planning to integrate opening and shut down procedures for security along with the conservation and recycling rules to help everyone get on the same page. We decided on 4 offerings, max of 6 people in each session to get through it in an hour or less. Our staff is super friendly and likes to chat and joke around when they get together so we figured 6 would be easiest to keep focused!

So the not-so-sweet part? We had a frank discussion about whether or not we could pledge ourselves to the Sustainable Hudson Valley’s 10% Challenge: to reduce our fossil fuel usage and to educate 10% of our constituents about energy efficiency options. While I know for sure we could slam dunk the education challenge the group came to the disappointing conclusion that we could not meet the 10% reduction in fossil fuel usage in the next year.

We’ve probably met the 10% challenge in past years (weatherization, turning down thermostats, water heater, wrapping the water heater) but have plateaued to some degree. At the moment, we are stymied by our budget woes.Since we’ve already implemented the free options and, right now, can’t afford even our next low cost solutions (lamp replacement, water cooler upgrade, etc.) the group felt we’d be setting ourselves up for failure. Next on our list is new windows or at least storm windows and we’ve been unable to come up with a match for the State Construction grant due to our budget situation. Solar panels are on the list, but again, grants cover half and we have no capital budget at this point.

While this may be a short term set back I’m not convinced we can’t do the 10% this year. I’m going to crunch some numbers, call some folks and take a hard look at what 10% looks like and maybe re-pitch this opportunity to the group. Stay tuned!!

Milwaukee Public Library Rooftop Solar

Interesting tidbits from this article on the Milwaukee Public Library’s rooftop solar array:

  • The library’s solar electric system is projected to generate 40,000 kilowatt hours (kWh) of power a year for the next 40 to 50 years.
  • …the new system will produce less than 10% of its electricity needs per year.
  • …solar electric prices dropped 15–20% between the time the library contracted for the system’s installation and the writing of this case study (March 2010).
  • The library’s solar system will pay for itself over about 15 years, which is a third of its projected lifespan. About 75% of the savings will be from electricity generation and 25% from demand reduction.

Part of me wants to say “timing is everything!”

Lead Paint

I have a lot of libraries in my System in buildings that were built before 1978 – in fact I have one two hundred years older than that! Why do I mention 1978? The United States government’s Consumer Product Safety Commission banned lead paint in 1977 (16 Code of Federal Regulations CFR 1303).[1]

A lot of times when I’m consulting in an older building about renovating a space or expanding it we’ll skim over this issue. Kind of an “oh yeah, and  I bet that’s lead paint too [insert eye roll here]” but really, this could be a serious contaminant in the building that deserves some special attention, particularly if it is flaking off or in the dust.

According to the US Environmental Protection Agency (EPA):

  • People can get lead in their body if they:
    • Put their hands or other objects covered with lead dust in their mouths.
    • Eat paint chips or soil that contains lead.
    • Breathe in lead dust, especially during renovations that disturb painted surfaces.
  • Lead is more dangerous to children because:
    • Babies and young children often put their hands and other objects in their mouths. These objects can have lead dust on them.
    • Children’s growing bodies absorb more lead.
    • Children’s brains and nervous systems are more sensitive to the damaging effects of lead.
  • If not detected early, children with high levels of lead in their bodies can suffer from:
    • Damage to the brain and nervous system
    • Behavior and learning problems, such as hyperactivity
    • Slowed growth
    • Hearing problems
    • Headaches
  • Lead is also harmful to adults. Adults can suffer from:
    • Reproductive problems (in both men and women)
    • High blood pressure and hypertension
    • Nerve disorders
    • Memory and concentration problems
    • Muscle and joint pain
